Make off-road RUC records ready for review
Build a consistent record of where, when and how far vehicles travel off road, and keep evidence linked to the right vehicle and licence period.

Capture the evidence as the work happens
An off-road RUC refund or rebate claim is easier to substantiate when the underlying journey is recorded close to the work. Keep the vehicle identity, date, location, distance and job context together, and record the odometer or distance readings relevant to the trip.
For fleets using electronic road user charges, keep eRUC licence and distance records aligned with the relevant vehicle and period. Do not rely on broad percentages or a driver’s memory when measured records can be captured.
Make repeat routes consistent
For regular work on farms, forests, quarries or worksites, agree how the team will identify the route and record each use. Keep site names, access points and any pre-measured distance details with the operational record so the office can review them later.
Use one process across drivers and depots, and make exceptions visible when a trip crosses between public road and off-road work.
Keep records retrievable
Store trip evidence so it can be found by vehicle, date, job and location. Check that reports can be reviewed and exported before a claim is prepared, and retain records for the period required by the relevant authority. Where a provider offers NZTA synchronisation, confirm which RUC, registration, WOF and COF details it updates and how exceptions are handled.
NZTA sets the current eligibility, application and record-keeping requirements for RUC refunds. Check its guidance before preparing a claim.
