Maintenance economics: cost per kilometre and vehicle lifecycle

Bring preventive work, tyres, downtime and whole-of-life cost together so maintenance decisions protect both availability and margin.

Protect the service plan

Preventive maintenance works when the schedule reflects how each asset is actually used. Combine time, odometer, engine hours and manufacturer requirements, then compare upcoming work with the live transport plan before a service becomes urgent.

Reminders should lead to an owned action: book the workshop, reserve parts, reassign a load or approve a deferral. Compliance reporting then shows which services were completed on time and where operational pressure repeatedly pushes maintenance out.

  • Schedule by date, distance and engine hours
  • Alert before the maintenance window closes
  • Record approved deferrals and their reasons
  • Measure preventive maintenance compliance

Price downtime and wear honestly

The workshop invoice is only part of maintenance cost. Capture labour, parts, external repairs, tyres, towing and the productive time lost while the vehicle is unavailable. Divide that cost by kilometres over a sensible period to compare assets with different workloads.

Track unplanned downtime separately from scheduled workshop time. Repeat defects, road failures and tyre events are signals that deserve attention even when the individual repair cost looks small.

Know when repair becomes replacement

Vehicle lifecycle decisions improve when age, utilisation, maintenance cost per kilometre, fuel efficiency, downtime and residual value sit in one view. A fully paid asset is not automatically the cheapest vehicle to keep if it is unreliable or poorly matched to the work.

Use rolling trends rather than one expensive month. Compare similar vehicles, account for route conditions and model the operational impact of replacement. That gives fleet leaders a defensible point at which continued repair costs more than renewal.

  • Review tyre cost and wear by vehicle and axle
  • Compare maintenance cost per kilometre across like assets
  • Include lost availability in lifecycle analysis
  • Create a replacement watchlist before reliability falls
