Get more from a shared fleet with clear booking rules
Coordinate pool vehicles, bookings, keys and usage records so staff can find an available vehicle and managers can plan capacity.

Make availability and responsibility clear
A pool vehicle booking system (PVBS) helps staff see what is available, who has booked each shared vehicle and when it is due back. Define who can book, how bookings are approved and what to do when a vehicle is returned late or needs attention.
Connect each booking to a named driver and vehicle. Include key management, access permissions and a reliable handover record so the next person can start on time and teams can follow up on damage, cleaning, fuel or missing keys.
Use actual activity to plan the pool
Compare bookings with vehicle movement, duration, distance and time on site. This reveals vehicles that are consistently oversubscribed as well as assets that sit unused for long periods.
Look at demand by location, day and season before resizing a pool. Keep enough suitable vehicles for peaks, accessibility needs and specialist work.
Keep access and records aligned
Make key collection, return and vehicle checks part of the booking process. Keep restrictions and private-use policies visible to staff, and retain records needed for internal reporting or tax review.
Review your organisation’s current obligations with a qualified adviser; booking and tracking data can support a process but does not determine tax treatment by itself.
